Greenhouse Project Coordinator

Summary:

The person in this position reports to the Senior Project Manager, and is responsible for planning, organizing and coordinating activities of the greenhouse line.

Tasks & Responsibilities:

1. Assist the Senior Project Manager and project managers in managing and coordinating the schedules for the crews or subcontractors for the greenhouse lines.

2. Organize the installation orders and greenhouse projects.

3. Work with project managers to make sure orders stay on the projected timelines.

4. Prepare contracts for subcontractors for the greenhouse lines.

5. Determine equipment needed for each job and book equipment for the crews or subcontractors.

6. Handle install quotes and communicate that to the sales representatives to include on bids for the customers.

7. Handle some direct customer service calls as needed.

8. Assist project managers with responsibilities that may include the following:

A. Keep in touch with customers

B. Review and confirm any details on the orders

C. Make sure order is correct before it gets shipped out

D. Contact customers throughout the installation process

9. Assist Sales Representatives with problem resolution with greenhouse lines.

10. Manage and coordinate schedules for repairs or rework.

11. On a daily basis move the orders through the system, assist in assigning orders to Project Managers if needed.

12. Scheduling shipping and installation of all greenhouse orders.

13. Request the contract for services for installs.

14. Answer questions relating to greenhouses from sales representatives, customer service, project managers etc.

15. Serve as a liaison between the sales team, manufacturing clerical, design, purchasing and other managers.

16. Monitor orders on shipping schedule to ensure release is timely prior to ship date.

17. Be involved in team meetings to discuss shipping schedules at least two times a week.

18. Assist the office clerk with any other tasks and fill in as a back-up in different areas.

19. Create or review reports for that department

20. Create new projects in project management

21. Adhere to all safety company rules and OSHA regulations.

22. Any other tasks as assigned by manager.

Knowledges, Skills, & Abilities:

· Microsoft Office experience required.

· Knowledge of corporate policies and procedures related to human resources management

· Knowledge of corporate policies and procedures related to the hiring of private contractors

· Knowledge of building codes and restrictions

· Knowledge of construction requirements and techniques

· Knowledge of safety policies and regulations

· Ability to read and follow complex instructions and read blueprints and schematics

· Ability to define and solve specific customer problems associated with installation

· Ability to manage multiple, complex activities

· Ability to supervise the work of others

Education Requirements:

· Associate degree in business or other related field preferred.

· Two years of experience in the construction field preferred.

Training Needs:

The person in this position needs continuous training in corporate policies and procedures related to product installation, contracting for services, and project management.

Language Skills:

Ability to read and interpret documents such as safety rules, operating and procedure manuals.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Must be able to read a tape measure.

Primarily an office position but when on a job site will need to work outdoors in all weather conditions. Noise level would be low in an office environment but on a work site or other areas on campus could be moderate level.
