Duties and Responsibilities
The tasks listed below are those that represent the majority of the time spent working in this class. Management may assign additional tasks related to the type of work of the class as necessary.
  • Serve as lead staff person in the Center when Center Director is out of the center. This may include an occasional night and weekend.
  • Assist in the general operations of the Center including:
  • providing customer service, solving problems, preparing/processing reports and other documents, and providing administrative support for Center Director.
  • handling telephone and walk-in inquires about programs and services offered by the college including Adult Literacy, BCS non-credit classes and degree programs.
  • conducting intake activities for prospective students, registering students for Adult Literacy and BCS non-credit classes, and making appropriate referrals to coaches and advisors.
  • Use judgment to determine when/who to contact in the case of events that threaten health, safety and facility. Monitor security and activity in the facilities, handle any issues that arise with the assistance of the Center Director, follow established emergency procedures, take appropriate action to protect health and safety of students/customers and act to protect the facilities from damage.
  • Handle telephone inquiries, greet the public and provide information to walk-ins about credit and non-credit services/programming. Anticipate customer needs, offering comprehensive information.
  • Develop non-credit programming for the Center, including but not limited to personal interest classes and summer camps. Maintain classes in Lumens software. Assemble instructor packets, class sign-in sheets, class evaluations, etc. Negotiate and coordinate instructor compensation.
  • Coordinate center events by organizing facilities and details such as décor, catering, invite lists, special equipment and marketing materials.
Qualifications
EDUCATION AND EXPERIENCE REQUIREMENTS:
Work experience and/or some post-secondary education required. Associate degree preferred.
CERTIFICATIONS AND LICENSES:
Must possess valid driver’s license.
Essential Functions
  • Provide administrative support for BCS programs, preparing and processing registrations, class materials, certificates and state reporting.
  • Provide administrative support for Center Director relating to Career Learning Link including scanning, uploading correspondence, maintenance of electronic student files, maintenance of spreadsheets, assist with job shadows and field trips.
  • Receive and receipt money for tickets, registrations, special events, books, etc.
  • Provide prompt support and trouble-shooting for technology use in classes, meetings and events scheduled at the Center. Start up, monitor and shut down the technology for classes delivered in Zoom format. Facilitate service with on-call CIS personnel when necessary.
  • Respond to instructor requests for assistance with facility issues, posting class cancellations and exchange of student work.
  • Perform office and building opening and closing procedures, including proper handling of money, phone settings, locking, facility alarms, etc.
  • Maintain and understand NICC policies/procedures, and be able to communicate the policies and the rationale for them to customers.
  • Perform database applications related to BCS programs/classes and Center budget as requested.
  • Coordinate staff appointments and calendars using Google Calendar.
  • Maintain AdAstra calendar and print weekly room grids.
  • Coordinate testing appointments- ALEKS, Accuplacer, NCRC.
  • Proctor testing appointments-ALEKS, Accuplacer, NCRC.
  • Update Center website.
  • Publish Facebook posts for Center classes and events.
  • Aid in direct marketing of Center classes and events through various outlets to be discussed.
  • Inventory, order and organize office supplies and equipment as requested.
  • Copy, collate, and file student records, documents, brochures and other as requested.
  • Maintain student confidentiality and handle CSI (confidential, sensitive information) per college regulations.
